Privacy Policy

This policy explains how Vault Agency Corp collects, uses, and handles information across our website and our software products, including RouteRep.

1.Scope of This Policy

This Privacy Policy applies to Vault Agency Corp (“Vault Agency Corp,” “we,” “us,” or “our”), the website at vaultagencycorp.com, and the software products we develop and operate, including the RouteRep mobile application and the RouteRep web platform (together, the “Services”).

RouteRep is a business platform. It is generally made available to organizations, and individual users typically receive access through an employer or another organization that has an account with us. Where that is the case, the organization determines what information is entered into the Services and how it is used. This distinction matters throughout this policy, and we return to it in Section 9.

By using the Services, you acknowledge the practices described in this policy.

2.Information You Provide to Us

We collect information you give us directly. This includes information submitted through forms on our website, information provided when creating or configuring an account, and information contained in messages you send to us.

  • Contact and support forms. When you submit a form on vaultagencycorp.com, we receive the name, email address, and message you provide, along with any company name, phone number, subject, or support category you choose to include.
  • Direct correspondence. If you email us, we receive the contents of that message and any information you include in it.
  • Information entered into the Services. Content you enter while using RouteRep, including notes, questionnaire responses, and records you create.

3.Account Information

To use RouteRep, an account is required. Account information may include your name, email address, phone number, assigned role, the organization you belong to, and authentication credentials.

Passwords are handled through our authentication provider and are stored in hashed form. We do not have access to your password in readable form.

4.Business Information

Where an organization uses our Services, we collect information about that organization necessary to provide and administer the account. This may include the business name, business contact details, the users associated with the account, their roles and permissions, and configuration settings chosen by the organization.

5.Application Usage Information

We collect information about how the Services are used, so that we can operate them reliably and improve them. This may include actions taken in the application, features used, timestamps of activity, records created or modified, and technical logs generated when the application communicates with our systems.

Within RouteRep, activity recorded as part of the product’s normal operation — such as when a visit is started and completed, or when a record is updated — is visible to authorized users within the same organization, according to their role. This is a core function of a field operations platform rather than a separate tracking mechanism.

6.Device Information

We may collect technical information about the device used to access the Services, including device type and model, operating system and version, application version, language settings, general network information, and identifiers used for diagnostics and crash reporting.

This information is used for compatibility, troubleshooting, security, and product improvement.

7.Location Information

RouteRep may use location services to support legitimate field operation features. Depending on the functionality in use and the permissions granted, these may include:

  • Recording or confirming customer visits
  • Route planning and route activity
  • Mileage-related functionality
  • Field activity associated with a location
  • Navigation to a customer location

Location collection depends on product functionality and device permissions. The application requests location access through your device’s standard permission prompts, and you can grant, limit, or revoke that access at any time in your device settings. Where location access is not granted, features that depend on it may be limited or unavailable.

Location information collected through RouteRep is made available to the organization whose account you use, in accordance with that organization’s configuration and your role. If you have questions about how your employer uses location features, please contact that organization directly.

8.Photos and Uploaded Content

Some RouteRep features allow photos or other files to be attached to a record — for example, documenting conditions observed during a customer visit. Where the application accesses your camera or photo library, it does so through your device’s permission system, and only for the purpose of the feature you are using.

Content uploaded in this way is stored as part of the organization’s data in the Services and is available to authorized users within that organization.

9.Customer Information Entered by Businesses Using RouteRep

Businesses using RouteRep enter and manage information about their own customers and accounts — for example business names, addresses, contact details, visit history, account status, and notes recorded by their representatives.

For this information, the business using RouteRep is responsible for what it collects and how it is used. Vault Agency Corp processes that information on the business’s behalf in order to provide the Services. We do not use information a business enters into RouteRep for our own independent purposes, and we do not sell it.

If you believe your information has been entered into RouteRep by a business and you wish to access, correct, or delete it, please contact that business directly, as they control that data. You may also contact us at contact@vaultagencycorp.com and we will assist where we are able to do so.

10.Analytics

We may use analytics to understand how our website and applications are used in aggregate — for example, which pages are visited or which features are used — so that we can improve them.

Where analytics are used, we aim to limit collection to what is needed for that purpose. We do not use analytics information to build advertising profiles, and we do not sell analytics information.

11.Cookies and Similar Technologies

Our website uses only what is necessary for the site to function. Where cookies or similar technologies are used within the Services, they support essential functionality such as keeping you signed in and maintaining your session securely.

Most browsers allow you to refuse or delete cookies through their settings. Disabling cookies that are essential to authentication will prevent parts of the Services from working.

12.How We Use and Process Information

We use information for the following purposes:

  • To provide, operate, and maintain the Services
  • To authenticate users and secure accounts
  • To deliver the features an organization has configured
  • To respond to inquiries, support requests, and correspondence
  • To troubleshoot problems and improve reliability
  • To develop and improve our products
  • To protect against fraud, abuse, and unauthorized access
  • To comply with legal obligations

Vault Agency Corp does not sell personal information. We do not share personal information with third parties for their own independent marketing purposes.

13.Data Retention

We retain information for as long as it is needed to provide the Services, to satisfy the purposes described in this policy, and to comply with our legal obligations.

Where an organization holds the account, data associated with that account is generally retained for the duration of the account relationship, and handled thereafter in accordance with our agreement with that organization. Backup copies may persist for a limited period after deletion as part of normal backup cycles.

14.Security

The Services are designed with secure account access, role-based functionality, and responsible data-handling practices. Data transmitted between the applications and our systems is encrypted in transit, access to production systems is restricted, and permissions within the product are enforced according to user role.

No method of transmission or storage is completely secure, and we do not claim that it is. We work to protect information using measures appropriate to its sensitivity, but we cannot guarantee absolute security. 15.Third-Party Service Providers

We use third-party providers to operate the Services. These may include providers of cloud hosting and databases, authentication, file storage, email delivery, mapping and navigation, and error monitoring.

These providers process information on our behalf and only to the extent needed to perform their function. Where a mapping or navigation feature hands off to another application on your device, that application’s own privacy policy governs what it does with that request.

17.Your Rights and Choices

Depending on where you live, you may have rights regarding your personal information, including the right to request access to it, to request correction of inaccurate information, to request deletion, to object to or restrict certain processing, and to request a copy of information you provided to us.

You may also control certain collection directly through your device — for example, by changing location or camera permissions in your device settings.

To make a request, contact us at contact@vaultagencycorp.com. We will respond in accordance with applicable law. Where the information is held on behalf of an organization using RouteRep, we may need to direct your request to that organization, and we will tell you if that is the case.

18.Children's Privacy

The Services are business tools intended for use by organizations and their personnel. They are not directed to children, and they are not intended for use by anyone under 16 years of age. We do not knowingly collect personal information from children.

19.Changes to This Policy

We may update this Privacy Policy from time to time to reflect changes to our products, our practices, or legal requirements. When we do, we will revise the “Last Updated” date shown at the top of this page.

Where changes are material, we will take reasonable steps to provide additional notice. We encourage you to review this page periodically.
